Do not place children’s full names, birth dates, addresses, school details, medical needs, custody information, allegations, or identifying incident narratives in department notes or assistants. Use general planning descriptions. Church leadership must approve a separate secure process before the platform handles sensitive youth records or parental permissions.
If someone is in immediate danger, contact emergency services directly. Do not wait for a website response, a staff meeting, or an assistant recommendation. Kentucky law requires reports of suspected child dependency, neglect, or abuse to the appropriate public authorities when its reporting threshold is met. Notifying church leadership does not replace an individual’s applicable reporting duty. Do not investigate an allegation through a chat assistant or general team workspace.
Identifiable youth photographs and recordings need a church-approved permission and review process before publication. Confirm the intended use, audience, and current permission, including relevant parent or guardian authorization. Avoid publishing a child’s contact details, sensitive circumstances, or real-time location. A ministry assignment does not itself authorize photography or public posting.
Church leadership must establish approved safeguarding contacts, supervision and transport rules, screening and training requirements, parental consent procedures, incident handling, and record retention.
